Quotcha AU ("Quotcha", "we", "us", "our") is committed to protecting your personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

This Privacy Policy explains how we collect, use, disclose, store, and protect personal information when you use our website, quote analysis tools, comparison quote services, and contractor platform (collectively, the "Services").

By using our Services, you acknowledge that you have read and understood this Privacy Policy.

2. Information We Collect

Information you provide directly:

  • Name, email address, phone number, and suburb/address when you submit a comparison quote request or contact us.
  • Trade quotes, invoices, and related documents you upload for analysis.
  • Business details, licence numbers, ABN, insurance details, and LGA preferences when you register as a contractor.
  • Electronic signatures and approval confirmations on estimates.

Information collected automatically:

  • Device and browser information, IP address, and general location data.
  • Pages visited, referring URLs, and interaction data via standard web analytics.
  • SMS message content and metadata exchanged through our contractor communication platform (powered by Twilio).

Information from third parties:

  • Payment confirmation data from Stripe (we do not store your full credit card details).
  • SMS delivery status from Twilio.

3. How We Use Your Information

We use personal information to:

  • Analyse trade quotes you upload and provide pricing audits, compliance checks, and market comparisons.
  • Match homeowners with licensed contractors for comparison quotes.
  • Generate estimates, facilitate approvals, and process contractor lead fees.
  • Communicate with you about your quote analysis, comparison requests, or account.
  • Communicate with contractors via SMS regarding lead opportunities.
  • Improve our AI analysis accuracy using aggregated, de-identified quote data (see Section 5).
  • Comply with legal obligations and resolve disputes.

4. Disclosure of Your Information

We may share personal information with:

  • Contractors: When you approve an estimate, the assigned contractor receives your name, contact details, address, and scope of work to perform the job. Prior to your approval, your personal details are not disclosed to contractors.
  • Service providers: Supabase (database hosting), Twilio (SMS), Stripe (payments), Resend (email), Vercel (hosting), and Google (AI analysis via Gemini API). These providers are bound by their own privacy policies and data processing agreements.
  • Legal requirements: Where required by Australian law, court order, or regulatory authority.

We do not sell your personal information to third parties.

5. AI Analysis & Quote Data

When you upload a quote, our AI analyses its contents to provide pricing benchmarks and compliance insights. To improve accuracy over time, we store aggregated, de-identified data from analysed quotes (e.g., trade type, region, line item categories, and pricing ranges).

This aggregated data does not identify you personally and is used solely to improve the accuracy of pricing benchmarks for all users. Your original uploaded documents are stored securely and are not shared with other users.

6. SMS Communications

Our contractor platform uses SMS (via Twilio) to communicate lead opportunities. By registering as a contractor and opting in to SMS, you consent to receiving automated and AI-assisted messages related to job leads.

SMS message content is logged for quality assurance, dispute resolution, and to maintain conversational context. You may opt out of SMS communications at any time by replying STOP or contacting us.

7. Storage & Security

Your personal information is stored on servers provided by Supabase (hosted in Australia/US regions) and Vercel. We implement appropriate technical and organisational measures to protect personal information against unauthorised access, loss, or misuse, including:

  • Encryption in transit (TLS/HTTPS) and at rest.
  • Row-level security on database tables.
  • Environment-variable-based secrets management.
  • Access restricted to authorised personnel only.

No method of transmission or storage is 100% secure. While we strive to protect your information, we cannot guarantee absolute security.

8. Data Retention

We retain personal information for as long as necessary to provide our Services, comply with legal obligations, and resolve disputes. Specifically:

  • Quote analysis data and lead records: retained for up to 7 years for benchmarking and compliance purposes.
  • Contractor accounts: retained for the duration of the account plus 2 years after closure.
  • SMS logs: retained for 2 years for dispute resolution.
  • Uploaded documents: retained for 12 months, then automatically deleted unless linked to an active lead.

9. Cookies & Tracking

We use essential cookies and local storage to maintain session state, theme preferences, and admin authentication. We may use analytics tools to understand how users interact with our Services.

You can control cookies through your browser settings. Disabling cookies may affect the functionality of some features.

10. Your Rights

Under the Australian Privacy Principles, you have the right to:

  • Access the personal information we hold about you.
  • Correct inaccurate or incomplete information.
  • Request deletion of your personal information (subject to legal retention requirements).
  • Opt out of marketing communications at any time.
  • Complain if you believe we have breached the APPs.

11. Third-Party Links & Services

Our Services may contain links to third-party websites or services. We are not responsible for the privacy practices of those third parties. We encourage you to read their privacy policies before providing any personal information.

12. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be notified via our website. The "Last updated" date at the top of this page indicates when the policy was most recently revised. Continued use of our Services after changes constitutes acceptance.
